Getting a client’s day started is often a time-consuming scenario for nonprofits. Whether it’s getting all your program’s participants checked in for the day or enrolling a new client altogether, these kickoff tasks can be tedious for your whole team. But it’s so important to get them right! Effective reporting and improvement depend on it. So we’re adding some fantastic new nonprofit intake and check-in features to Apricot that will revolutionize your day-to-day processes.
At Social Solutions, we understand that the information you collect during the intake process is of the utmost importance. Gathering thorough, accurate information from the beginning of a participant’s journey with your organization will determine the effectiveness of the services offered. To make this process easier and faster, we are excited to announce that Apricot will offer Intake as a service!
You can base these new Intake forms on ones you have already built, to get the most well-rounded view of a participant’s needs and situation. This includes both Tier 1 and Tier 2 forms! Program applicants can submit forms and Apricot administrators can add, edit, and manage forms from the software. You can publish multiple Intake forms for varying programs and take them down when enrollment ends. All this data will be directly added to your database in real-time.
By opening a new channel for participants to take advantage of your organization’s services, more and more members of your community can participate, and staff members’ time can be used toward different tasks. Less data entry, more impact! In fact, it is estimated that this new feature will save 15% to 40% of staff members’ time.
Participant Check-in With QR Codes
Another feature new to Apricot is Easy Check-In. From the Apricot software, print QR codes for class or program participants to easily check participants into and out of a class. When Easy Check-In is used, Tier 2 participation records (for attendance) will be stored in their respective Tier 1 document folder. Like any standard Tier 2 record, they can be used to generate reports in the report builder. You can check in a participant using your phone camera, computer camera, or barcode scanner to scan each QR code. The first scan of a code will check in a participant, creating the he Tier 2 record instantly. By scanning the same code a second time, the participant is checked out. No more need for multiple check-in staff members!
Coming Soon: Apricot Portal
In early 2019, we will also be releasing our Portal feature to Apricot, which will allow participants to log in with a username and password to enter and update information about themselves and request new services.
Examples of information participants can update include address (if they have moved) and services needed. If a participant is enrolled in a job placement program, they can sign up for additional childcare services through Portal. All attendance records attained through Intake will be displayed in the participant’s profile, viewable with Portal. This enables your clients to see a history of their participation in varying programs. This means less staff time dedicated toward updating participants’ journeys into a database!
